Time-Zone Handoff

A handoff record that names the cut-off, the open items, and the next owner in the receiving time zone.

Why this control matters

Time-Zone Handoff is a record, not a reminder to be careful. It shows what the team checked, who owned the next step, and what remained open before the client acted. The control matters because the next shift inherits a tidy summary with no open-item owner.

Open the governing record

Start with the handoff note and queue. Record the source, the version or date observed, the owner, and the field the evidence supports. Save the original rather than retyping it into a summary. The assistant prepares and checks the record; the account owner keeps the decision that changes a client commitment, a payment, a schedule, or access.

Where the handoff breaks

The predictable failure is this: the next shift inherits a tidy summary with no open-item owner. It becomes expensive when the next owner cannot tell whether the item is a request, an approval, or a correction. Use one status set: ready, exception, approved, and closed. A status without an owner and a date is only a label.

A worked outsourced example

A task crosses from Manila to Austin. The handoff records the source, the open question, and the person who owns it next. The point is not the specific number. It is that the record shows the original state, the change, the reviewer, and the confirmation in one place. Review the example with the person who owns time-zone handoff. If they cannot explain the close condition from the record alone, the control is not finished.

Weekly review and stop rule

Sample one ordinary item, one exception, and one recently corrected item. Track completeness and the age of what remains open. Count errors by rule rather than by person. When the same gap appears twice, fix the form, the routing rule, or the source map before coaching the same operator again.
